Zen Planner is a business management solution designed predominantly for fitness companies. The app offers both a customer facing platform as well as a back office platform for staff. The back office in Zen Planner offers staff scheduling, client attendance tracking, automated billing, website and email marketing, and business reporting.

The customer-facing platform in Zen Planner lets your clients sign up and pay for classes online, check in to classes through the kiosk app, track their workouts, set goals, view their payments, buy products and manage their membership accounts.

With Zen Planner’s Member Connect, your clients can make appointments for training sessions, sign up for classes and review their class selections and appointments from any mobile device. They can also pay for these services and view all their billing information through their own dedicated profiles. Clients can also sign up through an embedded appointment calendar on your website or Facebook page.

Along with tracking sessions, classes and payments, client profiles in Zen Planner also offers basic and premium workout tracking. These features let your clients record and track skill test results and workout progress. They can analyze these results and identify trends through graphs. They can review their performance on a leaderboard and publish their results on Facebook.

Staff members can use Zen Planner to view their schedules, publish their availability online, and get notifications of double booking. Managers can track staff payroll and hours, create customized reports and access predefined reports, set notifications based on important metrics, and track failed payments, absent members, and promotional campaigns.

Zen Planner also includes promotional marketing tools such as the ability to sell merchandize online, customize event registration with photos and maps, send marketing emails to members, embed lead capture forms on your site, and track these efforts through prospect conversion reports.

Zen Planner was founded in 2005 and has received three rounds of funding, once in 2011 and twice in 2013. The team at Zen Planner consist of just over 20 staff members and are based in Colorado, United States. The app is used by a number of small to medium-sized businesses such as personal trainers, gyms, martial arts studios and dance studios.

What are the differences to other apps?

Zen Planner has a key focus on fitness-based businesses and its features reflect this. One of the most prominent of these features is the workout tracking feature built into the member profiles. This feature lets both instructors and their students track the results of skill tests and workout programs and get a better understanding of their progress over time.

Other key differentiators include the ability for clients to pay bills online and for you to have these payments directly deposited into your bank account through a PCI-DDS compliant, secure transfer. Zen Planner also offers a higher level of complexity and customization to reports than some other apps.

How does the web app look and feel to use?

Zen Planner comprises a black, red and white themed interface that is clean and crisp. You can customize the interface to include your company logo for a more personal feel. On the left hand side of the back-office platform there is a navigational menu giving access to five tabs labeled: dashboard, people, calendar, retail, and workouts.

The customizable dashboard show you membership numbers, attendance rates, marketing activity, prospect conversion rates, reports, bills to approve, finances and payroll. A color-coded calendar shows you all your workouts and appointments, and lets you build workouts from a selection of skills.

The member-facing platform gives access to a range of tabs, namely: calendar, make appointment, sign up, shop online, daily workout, leaderboard, my profile, about us, test, and try a free class. The app is easy to navigate and gives a visual understanding to all important information, such as attendance history and payments.

How does the registration process work?

You can sign up for a free trial of Zen Planner by clicking on the red “Free Trial” button on the top right hand corner of the website homepage. You then need to fill in a short form with your name, email and phone number. Completion of the form gives you access to a free 15 day trial.

What does it cost to use the application?

Zen Planner offers five pricing plans that scale depending on the number of members. For 50 members the app costs $70 per month, 100 members costs $90 per month, 200 members is $110 per month, 400 costs $130 per month, and more than 400 costs $145 per month.
